what we do.

 

the inventory and check in.

The inventory and check in report is conducted at the beginning of a tenancy, before the tenants take residency.

The inspection examines the entire property, following a methodical order from the front entrance through each room and area, including storage cupboards, hallways, stairways and any and all accessible outside spaces.

Descriptions and the condition of all décor, furniture, fixtures and fittings of each room and space are recorded, providing a highly comprehensive guide to the condition of the property at the beginning of the tenancy.

A well prepared inventory report is of vital importance, as it will be used to compare the condition of the property at the check out and without it the landlord will have no recourse should there need to be any deductions made from the tenants deposit at the end of tenancy.

The inventory and check in report also includes the following -

  • Overview room photography, photographs of the contents of a property and any damage or deterioration found

  • The state of cleanliness is thoroughly reported on.

  • Keys are documented and photographed and arrangements can be made for SBPI to hand keys over to the new tenants.

  • Meter readings are recorded and photographed where accessible.

  • Smoke alarms and carbon monoxide detectors are tested where accessible.

  • Meeting and greeting of the new tenants at the property can also be arranged, where the SBPI clerk will walk through the property with the tenants, highlighting any issues as well as handing over of keys.


the check out.

The check out is conducted at the end of a tenancy, once the tenants have fully vacated.

The condition of the property and its contents are directly compared with the condition recorded on the inventory and check in conducted at the beginning of the tenancy and all changes and dilapidations which occurred during the tenancy are recorded.

Each room and space is thoroughly inspected and the check out will follow the same methodical order as the inventory, making the comparison of condition easy reading for all parties concerned.

The report will then be used to confirm if the tenants are liable for any missing items or damaged areas or items deemed in excess of standard wear and tear.

The report is also used to inform the landlord or managing agent of any deterioration and will highlight any areas in need of replacement, repair or maintenance.

The check out report also includes the following -

  • Overview room photography, photographs of the contents of a property and any damage or deterioration found

  • The state of cleanliness is also reported on, comparing that with the state recorded at time of check in. Generally properties are expected to be left in the same state of cleanliness as the property was handed over at the beginning of the tenancy 

  • Keys are documented and collected from the tenants, these are also photographed and returned by SBPI to the instructing principal

  • Final meter readings are recorded and photographed where accessible.

  • Smoke alarms and carbon monoxide detectors are tested where accessible.

  • Any items left behind by the tenants are also noted in each room, which could incur costs to remove, depending on prior arrangements made.


the mid tenancy inspection.

Mid-tenancy inspections can be requested and conducted at any time during the tenancy period.

These can be very useful in highlighting any potential damage or neglect of the property or contents, unauthorised smoking or pets as well as any maintenance issues requiring urgent attention and preventing costly future repairs come the end of the tenancy.

The clerk will inspect the property using the inventory and check in completed at the beginning of the tenancy, with the presence of the tenants and their belongings.

Please note the inspection will be conducted with considered sensitivity as the tenants are resident and therefore no personal belongings will be moved, which in some instances can prevent a full inspection, i.e inside cupboards, beds, areas of floor and walls covered with furniture, inside appliances etc. However we do insist the tenants are notified and are present at the inspection and we ask the property is presented in a clean, accessible manner, allowing the clerk the time and assistance if necessary to complete the inspection.
